Hiring Manager: Executive Assistant to the CFO & Clinical Development Team

Position Summary:

The contract Administrative Assistant will support the Executive Assistant to the CEO/CMO. This person will maintain reception, greet guests, assist with office management, and interview scheduling. Special projects will include assisting with special events, HR items or other tasks as needed.

Roles & Responsibilities:

  • Provide the CEO’s Executive Assistant with administrative, HR & office facilities support

  • Schedule candidate interviews using Outlook

  • Assist with travel arrangements & type travel itineraries/agendas

  • Track office expenses & maintain vending budget

  • Welcome & greet guests in reception

  • Answer the phone

  • Order, stock and maintain office supplies, beverage/snack supplies

  • Order& setup lunch catering

  • Assist with special events & projects as needed

  • Ensure meeting rooms & general office remains tidy throughout the day – load/unload dishwasher daily

  • Hours are from 8am-5pm, with a 1-hour lunch from 12-1pm

Qualifications:

  • 2-3 years of experience as an Administrative Assistant with multiple supports

  • Bachelor’s Degree preferred

  • Experience in a small company and/or Biotech/Pharma environment preferred

  • Professional demeanor with a clear understanding of proper office etiquette

  • Strong interpersonal skills; must be comfortable interacting with a wide variety of personalities both by phone and in-person

  • Strong and professional written communication & editing skills

  • Strong attention to detail

  • Ability to proactively, prioritize, problem solve and work independently on multiple tasks and accept direction as needed

  • Strong organizational skills

  • Working knowledge of MS Office: Outlook, SharePoint, PowerPoint, Visio & Excel
